Job Description

We are currently seeking an Executive Assistant to the Chief Executive Officer (CEO) to join our growing team. In this role, you will report directly to the CEO. You will handle and manage the CEO's calendar, travel, expense reporting and will serve as the primary coordinator to all meeting requests from internal and external stakeholders. You will frequently handle confidential and sensitive materials and will be required to be well-versed on the organization and related issues to direct correspondence and reply on behalf of the CEO. You must be self-motivated, doing your part to enable others to do their job well. You enjoy a fast-paced environment and working towards tight deadlines. You are phenomenal at developing processes that keep you organized and on schedule while ensuring those you support stay prepared and informed.

As an Executive Assistant to the CEO, your duties & responsibilities will include:

  • Maximize the CEO's effectiveness, managing where and when meetings occur and ensuring both the CEO and meeting participants have what they need in advance of the meeting to be most effective.
  • Understand organizational priorities so you are able to prioritize meetings with the CEO and other stakeholders to ensure the most important, high priorities issues are scheduled into the calendar
  • Serve as the primary liaison with internal and external stakeholders, ensuring efficient and timely access to the CEO as appropriate
  • On behalf of the CEO, prepare reports and presentation materials for executive, Board of Directors and other meetings
  • Ensure high confidential and potentially personal information is handled with the highest level of confidence and discretion
  • Understand the CEO's business and personal travel preferences, making sure travel schedules maximize the CEO's effectiveness and anticipate changes in schedule
  • Utilize Navan and Concur for travel coordination, expense management and reconciliation
  • Manage platforms such as SharePoint used for collaboration and sharing of information among executives
  • Build rapport with and work closely with other administrators, both internally and externally, to ensure mutual cooperation when planning meetings and travel, being able to shift directions quickly
Qualifications

WHAT IT TAKES TO CATCH OUR EYE:

  • Bachelor's degree in business management, communications or equivalent work experience
  • 10+ years of experience supporting C-level executives
  • Professional demeanor with strong communication skills, both written and verbal, to effectively communicate regularly with stakeholders at all levels of the organization, both internally and externally
  • Expert in Microsoft Office products (i.e., Outlook, Word, Excel, Teams, etc.) and other platforms such as Zoom
  • Demonstrated competence in complex travel planning including rewards and frequent flyer programs, change fees, flight, airline and airport preferences
  • Demonstrated ability to work on competing projects with tight deadlines
  • Maturity to handle very confidential information
  • Excellent time-management and organizational skills
  • Results-oriented with a meticulous eye for accurate details
  • Resourceful and proactive in nature
  • Thrives working independently and with others
  • Exhibits patience, tact and the ability to maintain composure especially in challenging situations
  • Travel is required
