This role offers a unique blend of traditional garden membership management alongside exciting work with data. From pulling insightful reports on membership trends to harnessing data-driven strategies, this position is pivotal in optimizing our membership experience.

Rewards and Schedule:

The hiring salary will be between $38,000 and $44,000 per year and will include benefits provided by the State of North Carolina and University of North Carolina System. Benefits include paid time off, retirement and insurance programs. The hiring salary often commiserates with previous experience relating to membership programs and data.

This role will predominately work Monday through Friday from 8 a.m. until 5 p.m. plus occasional weekends or evening work in conjunction with membership events. The North Carolina Arboretum is a flexible work employer. After an adequate training period (often 6 months) this position may be eligible for a hybrid work arrangement. Hybrid work on our campus often translates to three days onsite but is highly dependent on task comfort level and accuracy.

Primary Purpose of the Position:

The Member Services and Technology Coordinator works closely with members and membership data programs to enter, audit, reconcile and produce accurate and consistent membership data, gift data and entry, and related correspondence. This work includes various forms of gift entry data processing, assisting with best practices to maintain database integrity and membership satisfaction, and using strong written and verbal skills to communicate with the Membership team, members, volunteers, and staff from other departments. The Membership team is in the Development Division and this position will support both the Membership and Development teams in their fundraising efforts.

The coordinator must enter new and renewing membership information received via online, postal service, telephone and in-person into the membership database using Tessitura software as well as facilitate and create processes and procedures for staff, and provide troubleshooting support. This position will also need to process higher level membership gift entry including gift and special memberships, donation requests, refunds and adjustments, and assist with creating and updating current database procedures. The Member Services and Technology Coordinator also provides oversight and adherence to a stringent schedule for the production, printing, packaging, and mailing of membership materials, including but not limited to membership cards and renewal mailings; assists with membership communication, prompt and accurate donor acknowledgement letters and other member mailings, and assists with the planning and execution of numerous member-related special events.

This position also helps the Membership and Development teams set up our systems within the database, builds and exports extractions and lists for annual appeals, renewals, acquisition efforts and donor events, creates and generates renewal processes, coordinates with the gate system, and builds dashboards in Analytics to help the department better track our data.

A high degree of accuracy and attention to detail in all facets of the work ranging from data input to creation and implementation of procedures, database quality control is required. The person in this position needs to understand the database structure and data input requirements. In addition, this position requires dedication to providing excellent guest and member services - especially for upper level members, which are critical to developing and maintaining a positive guest and member experience. The Member Services and Technology Coordinator serves as a resource to the general public and members of The North Carolina Arboretum Society to provide detailed information; problem-solve both recurring and unique situations; and communicate information necessary to become an involved member

Competencies, Knowledge, Skills and Abilities Required in this Position:

Program Knowledge

The Member Services and Technology Coordinator must have comprehensive knowledge of programming available at the North Carolina Arboretum and organizational processes and be able to communicate this information to members and visitors. This knowledge expands beyond the membership area to include property information, education program procedures and special events assistance. Property rules must be communicated to visitors, and members must be properly apprised of discount options, program guidelines and processes.

Skilled understanding of database management and quality control, a general knowledge of basic arithmetic and English grammar, and a general knowledge of basic office practices and procedures is necessary. In addition, this role must be able to complete routine and repetitive work within a structured time schedule, including data entry, in an accurate manner.

Accuracy and Attention to Detail
This position requires a high degree of accuracy and attention to detail in all facets of the work ranging from data input to the output of letters and membership cards to database quality control. The person in this position needs to understand data input requirements and interpret report results to assist with membership recruitment.

Problem Solving
Using guidelines, rules and procedures established by The North Carolina Arboretum, the State of North Carolina and US Forestry Service, this role is responsible for identifying and resolving both recurring and intermittent issues. Further, the Member Services and Technology Coordinator is expected to develop recommendations for problem solving and manage resolutions.

The ability to extract, review and analyze data to anticipate and solve program issues is crucial to this position. Likewise, the willingness and ability to learn new skills as programming changes is vital.

Customer Service and Communication
The ability to understand oral and written instructions, read printed words and numbers accurately and deliver excellent customer service is required. Interpreting membership program policies and procedures to both the member and administrative staff is necessary. Composing and delivering information in multiple formats to team members and the Director of Development will also be required. The coordinator provides and supports personalized treatment of upper level members and their donations through both oral and written communications.

The North Carolina Arboretum is a 434-acre public garden affiliated with the University of North Carolina featuring indoor and outdoor exhibits, educational activities, and plant-centered research and economic development programs. The North Carolina Arboretum Society is a 501(c)(3) nonprofit organization that supports the Arboretum's mission of cultivating connections between people and plants through membership; individual, foundation and corporate giving programs; retail operations; volunteer programs; marketing; fee-based educational programs; exhibits; and green events.

Minimum Education, Experience, and Skills
Graduation from high school and at least two years of relevant experience is required; or an equivalent combination of education and experience.

Preferred Education, Experience, and Skills

Management Preference: Prior experience as a membership or development database administrator and prior experience with Tessitura software is preferred.
