We are seeking a detail-oriented individual to join our team as a Commercial Services Specialist II. In this role, you will be responsible for managing vital vehicle information, facilitating auction operations, and nurturing relationships with internal and external stakeholders. Your duties will include updating vehicle records, coordinating vehicle preparation for sale, responding to customer inquiries, and ensuring smooth auction processes from start to finish.   • Input vital vehicle information into the AS 400 system by reviewing Condition Reports and Work Orders from recon shops.
  • Develop and manage relationships with internal and external business partners and assist with auction operations from start to finish, including notifying customers of the latest news.
  • Follow up on vehicle preparation for the sale by reconciling incoming bills against ordered work/repairs for each customer's vehicle. When the information is missing, contact customer coordinators, service vendors, and /or an account representative.
  • Respond to customer inquiries related to vehicles promptly. Provide quality service and assist in resolving problems.
  • Pull and update consignment inventory information of vehicles transmitted by customers. Investigate transmission errors. Verify vehicle eligibility for the sale and provide the customer with an inventory reconciliation report.
  • Establish customer vehicle files in the computer system. Continuously update vehicle files with standardized abbreviations to ensure that vehicle location, condition, special announcements, and other activities relative to the vehicle are correctly recorded.
  • Seek floor price information from the account representative and enter it into the computer system.
  • Print gate passes for upstream sales and complete requests from clients or third-party sellers.
  • In coordination with an account representative, account operations coordinator, and account-specific procedures, prepare the sale vehicle run process, including run order, scheduling, and notice to the customer account.
  • Maintain and update physical vehicle inventory files, document all activities relative to each customer vehicle, and ensure accurate sale processing/closing records.
  • Communicate with our accounting and commercial progression teams to balance sales and perform post-sale invoicing as needed.
  • Prepare various reports identified in client agreements.
  • Run Autocheck for inventory to identify items to announce during sales to eliminate arbitration.
  • Navigate multiple systems, applications, and databases, including client systems (UVIS, RIMS, etc.) as needed.
  • Audit vehicle records and work with Posting and Procurement to ensure contractual rates are correct and all recon expenses are posted in the proper accounting buckets. Request any invoices needed.
  • Coordinate with management to make necessary adjustments within Workbench.
  • Work with Ready on aging pickup records to ensure ETAs are updated, and SLAs are met. Obtain information including transportation, Condition Reports, bills, etc.
  • Follow up on aged titles to ensure vehicle qualification and reduce cycle time.
  • Work with the Front Office regarding title issues.
  • Collaborate with client redemption customers to schedule appointments and/or facilitate units returning to the repo lot for redemption.
  • Partner with Auction Dispatcher on units sent out to dealerships and update clients.
  • Manage/reconcile inventory by releasing upstream sold records, marshaled units, and duplicate records.
  • Partner with various departments to ensure all regulatory and compliance requirements are met.
  • Visibly demonstrate safety commitment by following all safety and health procedures and modeling the behavior related to such. Actively participate in support of all safety activities aligned with Safety Excellence.
  • Perform other duties as assigned by management.


Qualifications:

  • High School Diploma/GED and 3 years' experience in a related field.
  • OR the right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline;
  • OR 5 years' experience in a related field
  • Valid Driver's License and safe driving record required.
  • Good communication and organizational skills required with strong attention to details.
  • Basic computer software skills required.
  • Commitment to providing excellent customer service required.
  • Must be able to operate adding machines and other office equipment (i.e., copier, fax machine, etc.). Ability to sit or stand for prolonged periods of time.


Physical Requirements:

  • Ability to perform repetitive data entry tasks, manual dexterity.
  • Vision abilities required include close, distance and depth perception.


USD 17.40 - 26.06 per hour

Compensation:

Hourly base pay rate is $17.40 - $26.06/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits:

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, parental leave, and COVID-19 vaccination leave.
