As the Congress Project Manager for the US Medical Vaccines Therapeutic Area (TA), you will be responsible for providing process, discipline, and structure to support effective planning and execution of USMA Vaccines Tier 1, Tier 2 and regional congress plans and effective running of congress planning teams.

This role will provide YOU the opportunity to lead key activities to progress YOUR career. These responsibilities include some of the following:

Congress plan tracking and management

  • Support development of individual congress goals and plans.

  • Support the planning, development and execution of congress activities and complete all operational tasks associated with executing a congress in a compliant manner within US Medical Affairs at GSK.

  • Identify any specific challenges/issues with congress plans.

  • Track and maintain congress activity plans in Smartsheet with start and end dates for all tasks associated with USMA congresses; track milestones and deliverables for each activity; provide reminders on due dates for tasks and follow up with business owners on progress and completion of activities.

  • Assist with preparation of congress budgets, track spend for congress activities to the respective activity budget, raise concerns in a timely fashion, and assist with final reconciliations within agreed timelines.

  • Track invoicing for sponsorships, meeting management and other congress related services and manage payment process.

Congress planning team meeting support

  • Coordinate meeting invites and plan agendas.

  • Ensure master files and calendar are maintained for each congress

  • Collect meeting content/slides/pre-reads .

  • Scribe for meeting; capture and circulate meeting outcomes and actions

  • On-going management of action items, risks, and issues related to each congress.

  • Manage stakeholder requests and communicate program and logistical information.

  • Organize logistics for and support pre and post congress briefings and other communications inclusive of GSK-sponsored activities and logistics.

Management of internal approvals, documentation and other project management or administrative support

  • Assist with ensuring that all necessary contracts with third party vendors are in place and compliant with the relevant code of practice requirements and ensure delivery of services.

  • Overall management of congress-related logistics (e.g., hotels, registration, meeting space, room schedules, etc.).

  • Support creation of HCP engagement meeting and room schedules.

  • Help develop calendar of events and sessions grid with TA Scientific staff for select congresses.

  • Support updating/maintaining the My Congress App for relevant congresses.

  • Support creation of GSK leader schedules at select national congresses.

  • Coordinate any needed updates to content that will be used at congresses.

  • Support internal review and approval processes for all congress activities and their associated materials through the relevant GSK processes including VEM submissions and Veeva Medcomms submissions/ approvals.

  • Vendor management: communicate goals & objectives to vendors being used for booth, symposia and other congress support.

  • Liaise with congress organization to provide deliverables.

  • Refine slide decks/meeting content slides for pre-reads/presentation at congress.

  • Compile transfers of value to organizations and HCPs if needed.

  • Manage post-congress activities (e.g., AARs, metrics reporting, collection of post-conference reports, GLASSES, and archive of other relevant documents in appropriate repository or Teams site) .

  • Bachelor's degree.

  • 1+ years pharmaceutical industry experience.

  • Working in a large matrix organization.

  • Leading, managing and working with internal cross-functional teams.

  • Medical congress planning and management of congress activities

  • Smartsheet + basic Microsoft 365 (Outlook, OneNote, Teams, Office).

Preferred Qualifications:

If you have the following characteristics, it would be a plus:

  • Experience in process management, project management, operations, and budget management.

  • Expertise in managing senior stakeholders, communication planning and change management.

  • Team player with strong interpersonal skills and leadership abilities.

  • Understanding of GSK matrix and organizational functions.

  • Understanding of US Medical Affairs ways of working preferred.
