Primary Purpose of Organizational Unit
The University Employee Occupational Health Clinic (UEOHC) provides occupational health care services to all full-time, part-time, and temporary employees of the University of North Carolina at Chapel Hill. The UEOHC directs medical care for all workplace injuries/illnesses. The UEOHC also provides pre-employment screening, annual immunization reviews, and medical surveillance for healthcare and non-healthcare workers.
Position Summary
The Medical Clinic Administrative Assistant performs a wide range of tasks. Primarily performing clinical administrative functions such as greeting and checking patients in/out that conveys both professionalism and compassion; answering telephone and routing calls timely and appropriately training employees on self-service tools (scheduling, immunization history), then scheduling patients workers compensation appointments based on medical providers request; accurately compiling and maintaining medical records and charts; daily archiving of charts; process incoming/outgoing correspondence, provide billing support; initial intakes of employee blood exposure; patient communication for medical surveillance requirements and workers' compensation; processing workers' compensation claims; notification of outside referrals for workers' compensation; request and maintain purchasing supply logs for prescriptions, central distribution medical supplies, and office supplies for the University Employee Occupational Health Clinic (UEOHC); and daily updating of OSHA log for patients seen at the UEOHC. The position will have both direct and indirect patient care and is expected to handle sensitive information with confidentiality. This position supports five clinical members (two professional nurses, one physician assistant, one clinic assistant medical director and one clinic medical director), and the Workplace Safety Manager.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Required Qualifications, Competencies, and Experience
Administrative Support Associate positions are characterized by their performance of a variety of administrative, secretarial and office support duties. Positions require knowledge of the office or work unit policies and procedures to communicate information involving programs, functions, and services. Duties performed may include preparation of documents and reports, the use of office technology, compiling records, organizing, and maintaining files, posting information, greeting/referring/assisting visitors/clients/staff/others, mail distribution, etc. The completion of work often involves a public contact role to obtain, clarify or provide information regarding activities of the work unit or program.

Positions may serve as the primary staff assistant to a department or program manager. This position requires both verbal and written communication, office technology, work coordination, problem solving, program knowledge, and information/records administration.

Candidate should be proficient with Microsoft Office Suite and have experience with data driven information management systems. The position demands strong attention to detail, ability to multi-task, organized, communication skills serving a diverse clinical patient base. Due to the sensitive nature of information, confidentiality is imperative, ability to maintain trust, along with the highest standards of discretion. Excellent oral and written communication skills, effective problem-solving capabilities and strong interpersonal skills are essential for success in this position. As well as the ability to work independently and as a team member.
Preferred Qualifications, Competencies, and Experience
Strong foundational experience in a clinical, medical and/or higher education office environment. Preferred candidates will demonstrate excellent organizational skills, proficiency in Microsoft Office and demonstrate characteristics to foster a successful team environment.
