Position Summary | Seeking a detail-oriented and proactive individual to fill the role of Executive Assistant/Office Manager in the Office of Public Affairs. This position will report to the Chief Strategy Officer/Secretary of the University. The primary responsibilities include efficient calendar management for the Director of Federal Affairs and the Director of State Affairs, coordinating meetings, travel arrangements, and reconciling expenses. Additionally, the candidate will assist with meeting and event planning for dignitaries and other distinguished guests (on-campus and off-campus events). The ideal candidate must demonstrate the ability to maintain confidentiality with privileged communications. In addition, the candidate should possess strong organizational skills, excellent communication abilities, and the talent to multitask effectively in a fast-paced environment. The successful candidate will be a self-starter and enthusiastic team player who strives for excellence and exhibits a drive and tenacity to independently complete tasks. In the activities outlined below, this position will occasionally operate in coordination with the highest levels of campus administration and management. |
Minimum Education and Experience Requirements | High school diploma or equivalency and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or a related discipline and one year of progressively responsible administrative/office management experience ; or Bachelor's degree, preferably in business administration or a related discipline; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Required Qualifications, Competencies, and Experience | Strong computer skills, particularly in Microsoft Office products, especially Outlook (email and calendaring), Word, Excel, and PowerPoint. Ability to organize, prioritize, triage, and otherwise manage work flows in an office setting, often dealing with sensitive and critical issues. Ability to manage multiple assigned projects and meet required deadlines. Ability to communicate, orally and in writing, effectively, appropriately, and diplomatically with a wide range of constituent contacts. Strong listening skills required. |
Preferred Qualifications, Competencies, and Experience | Experience providing administrative support for one or more senior executives. Prior experience in an administrative capacity in a higher education or government setting. Experience with Concur or other travel management programs. |
