Minimum Experience/Education

Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Preferred Years Experience, Skills, Training, Education
Degree from a business or technical college or a four-year institution.
At least three (3) years of experience in office management and clerical duties.
Possess excellent interpersonal skills by screening callers and visitors to determine appropriate course of action.
Ability to work in a busy student life setting that supports University programs, student activities and an array of community based events.
Any additional experience in higher education administration, student services which will enhance a working knowledge of operation.

Position Overview

Primary Purpose of Position
The primary purpose of this position is to perform a variety of business, fiscal, and administrative functions to address the needs of the Student Center and Campus Recreation Center . This position provides support to the Executive Director, Director of Operations and the Business Officer. The range of duties includes , but is not limited to budget management, report writing, summarizing and reconciling information or financial data, personnel administration and closely related functions.
Primary Function of Organizational Unit
The Student Center serves as the principal site for student programming and offers office accommodations for student leadership, the University Event Center, Aggie One-Card, Aggie Sit-in and a convenience store. In addition, it offers an array of services, conveniences and amenities for students, faculty, staff, alumni and guests.
Work Hours 8:00 am - 5:00 pm, Monday -Friday
Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies. On-site (Employees are primarily in the office and/or have a critical job requirement that requires dedicated office space on-site)
Key Responsibilities and Related Competencies

Required Competency Communication - Verbal/Written
Duties
Works cooperatively with the management team and other staff members in carrying out the major activities and programs as necessary and consistent with the mission, goals and objectives of the University and Division
Acts as a liaison to facilitate departmental responses to the needs of callers and visitors to the Executive Director
Consistently adheres to regulations and policies (University, State and Federal regulations)
Takes/transcribes meeting minutes, compile and disseminate a variety of information via information technology and mail
Composes various correspondence, reports and materials requiring word-processing
Assists with the preparation of letters, forms, reports, PowerPoint presentations and brochure

Required Competency Financial Management
Duties
Exhibits thorough knowledge of the organization's accounting and budget procedures.
Prepares budget documents and reports
Monitors and tracks expenditures and allocation of funds on a regular basis
Maintains and reconciles Excel spreadsheets to determine that expenditures and fund are balanced
Compiles and summarizes financial data to participate in budget analysis and forecasting material

Required Competency Business and Records Administration
Duties
Assist the Business Officer in submitting Electronic Personnel Action Forms
Maintains important department information in electronic format
Keep personnel records up to date
Provides monthly reports and special reports when requested
Manages ISAF's and other Human Resource or Payroll documents that are submitted by the department
Maintains a usage log for vans
Maintains current staff addresses and building directory
Assists with the submission of Student Staff employment data
Coordinates usage of office supplies and equipment
Required Competency Information Processing and Decision Making
Duties
Analyzes data from Banner to determine course of action to be taken
Coordinates with other departments (i.e.HR, Payroll, Procurement) to process data
Reviews university policies and procedures that have an impact on the department
Stays informed of changes in university policies and procedures




Required Competency Planning and Organizing Work
Duties
Plans and organizes meetings and retreat for department
Assist Executive Director with communication and submission of annual SHRA/EHRA performance evaluation
Assist the Business Officer in maintaining electronic personnel files
Prioritizes and schedules work so that all assignments are complete
