Workflow Manager

Wilson Elser's Charlotte office currently seeks a Workflow Coordinator.

The Position
Workflow Managers support Office Administrators in leading the office and team in areas of legal support and general office administration. This position requires leadership abilities, strong communication skills, and effective multi-tasking in a fast-paced environment.

Qualifications

  • 5+ years' experience handling office management responsibilities in a professional services firm.
  • Legal experience required
  • Bachelor's degree from an accredited college or university preferred.
  • Strong project management skills, with the ability to prioritize and follow through.
  • Demonstrated experience in team management and leadership.
  • Ability to work with all levels of professional staff, attorneys, and partners.
  • High level of professionalism and confidentiality.
  • Strong computer skills with proficiency in MS Office Suite and document management systems, preferably iManage.
  • Familiarity with State and Federal court procedures and rules, including proficiency with e-filing systems.
  • Candidate must be organized, self-starting and demonstrate an ability to solve problems without supervision.
  • Excellent written and verbal communication skills .
  • Proficient problem-solving skills.
  • Ability to work independently and effectively manage time.
  • Exceptional organizational abilities in a fast-paced environment.

Legal Responsibilities

  • Draft and send routine correspondence.
  • Prepare legal filings: format documents, pull exhibits, proofread, and redact documents.
  • E-file court filings in various courts.
  • Open new matters / process matters for closing.
  • Document management and organization.
  • Prepare cover letters for attorney bills.
  • Schedule conferences and depositions; maintain attorney calendars.
  • Manage bills for third party vendors, process check requests and follow-up with account.
  • Assist the Office Administrator with overall administrative management of the office, including but not limited to: aids in developing, coordinating, and enforcing systems, policies, procedures, and productivity standards.
  • Identify bottlenecks, challenges, and areas for improvement in the workflow, and propose solutions to enhance overall efficiency.
  • Supports staff results by communicating job expectations and planning, monitoring, and appraising job results.
  • Oversees and approves timecards for support staff.
  • Accounting supervision, including invoicing, check requests, and vendor expense processing.
  • Manage ordering of supplies for the office, closed files, and local webinars.
  • Manages invoices for third party vendors, process check requests and follow up with accounting.
  • Coordinates general office services with building management and local facilities management services.
  • Performs other assignments as assigned by the Office Administrator.
