Summary:
Provides support to Director - Plant Engineering, Construction & Environmental Compliance and Environment of Care Committee (EOC). Primary support roles include regulatory document management for local, state and federal government agencies, maintaining records for The Joint Commission accreditation program and various contracts. Also manages scheduling for facilities-related committees including taking minutes and maintaining records for EOC meetings. Maintains strong liaison with Executive Assistants in Administrative Suite and coordinates scheduling efforts with them. Attends facility-related regulatory committees, policy review meetings and also provides direct support to Plant Engineering Leadership Team during triennial accreditation surveys and other regulatory inspections.


Responsibilities:
1.Responsible for organizing and managing multiple document sets, accreditation records and facility impact reports and systems.
2.Review regulatory reports thoroughly, identify and address deficiencies promptly, schedule vendor inspections and tests and follow ups as needed.
3.Maintains all documentation required by Authorities Having Jurisdiction (AHJ) in paper and electronic format in survey ready status.
4.Manage spreadsheets, software, files and folders related to regulatory requirements. Extensive utilization of MS Office software - Excel, Word, Power Point - would be required.
5.Attends meetings, composes notes, and types minutes for regulatory meetings including Environment of Care committee, and coordinate final distribution.
6.Works collaboratively with the safety officer. Prepares power point presentations, agendas and spreadsheets for the EOC Committee meetings. May also attend EOC weekly rounds and help coordinate EOC Calendars.
7.Analyzes and prepares facility data in the form of letters, purchase requisitions, or reports as needed.
8.Assists in creating the annual compliance, quality plans and departmental policy documents.
9.Manage the Computerized Maintenance Management System (CMMS), for creating and running reports, keeping track of productivity and work distribution, asset maintenance etc.
10.Tracks the status of open work orders and periodically conducts integrity checks to ensure that all work orders have been processed accurately.
11.Help keep track of hospital environmental conditions through the monitoring of Building Automation System (BAS) and its alarms.
12.Serve as a technical resource for teammates with regards to CMMS, BAS and IT related issues.
13.Acts as back-up support for preparing payroll system, Work Order maintenance, Purchasing Requests.
14.Effectively reprioritizes tasks during stressful situations and have the ability to provide excellent customer service.

Education
*Associate of Applied Science (A.A.S.) or Associate of Arts (A.A.) in Construction Management Technology, Architecture Technology, Legal Support and Services, Paralegal, Business, Accounting, or other related subject areas.
*Bachelor's degree preferred.

Licensure/Certification
None

Experience
*Two or more years in administrative support, regulatory coordinator, construction management, legal coordinator, or similar role preferred.
*Experience in healthcare, architecture, engineering, legal environment strongly preferred.
*Experience supporting multiple management-level leaders.

Knowledge, Skills and Abilities
*Demonstrated ability to manage multiple tasks and document sets.
*Good follow up, data management and research skills.
*Organized, accurate and detail oriented.
*Good interpersonal and customer service skills. Able to build effective relationships with all levels including leaders, board members and providers.
*Ability to read, write and communicate effectively in English.
*Proficient with Excel software and computer system software.
*Proficient with MS Office and able to learn new software rapidly.

Valid NC Driver's License: Yes
If driving a Wayne UNC Vehicle, must be 21 years old and MVR must be approved by Risk Management.
