Senior Conference Planner, Strategic Inventory Management

Responsible for preparing us for our future and the rapid growth of our Destination Conferences through long term venue and space planning. This includes ensuring program, audience and exhibitor needs can be accommodated in future venues, supporting capacity analysis, program budget writing and determining exhibitor inventory.

The successful candidate will take ownership of the end-to-end processes for all exhibitor and program inventory and will align with key stakeholders to successfully manage and track changes. This person will drive the decision-making process, understanding what is required and where necessary, help to build & recommend effective solutions and plans to allow for continued conference growth.

What you will do:

  • Support Exhibitor Operations and Global Exhibitor Sales in inventory management and product development initiatives.
  • Project manage PE90 timelines to ensure program framework and space utilization is determined ahead of inventory release.
  • Determine key conference attributes working with relevant stakeholders to ensure the growth and needs of the conference are represented yet also kept in line with expense expectations.
  • Support on the agenda skeleton build and manage Gartner session inventory approval process.
  • Facilitate program budget writing, ensuring program budgets are completed accurately and kept up to date with ongoing approvals.
  • Support program management teams with investment requests for conference growth and delivery, including program expansion and strategic initiatives, expert requirements, and external speaker honoraria.
  • Collaborate with exhibitor operations, conference logistics and program management teams to build effective solutions for additional growth. Determine where investment is required and ensure global profit margins are maintained.
  • Understand all exhibitor products and their impact towards achieving revenue goals as well as financial expense associated to delivering such products. Ensure we are driving decisions to maximize conference contribution.
  • Analyze show floor capacities to determine optimal catering and aisle space requirements. Review all exhibitor deliverables and AVD's that require space or resources and ensure we make decisions that maximize profitability and optimize space. Create tools and processes to support best practices.

What you will need:

  • Bachelor's degree preferred.
  • Strong project manager to drive projects and get decisions.
  • Detail oriented and process driven.
  • Analytical and the ability to perform data analysis using Excel.
  • Great communication and people skills.
  • Problem solver with the ability to drive change with an organization.
  • Excellent presentation skills.
  • Events knowledge a plus - understanding of floor plans, challenges, etc.
  • Willingness to travel up to 20% globally to support Gartner's conferences.

Gartner believes in fair and equitable pay. A reasonable estimate of the base salary range for this role is 54,000 USD - 84,000 USD. Please note that actual salaries may vary within the range, or be above or below the range, based on factors including, but not limited to, education, training, experience, professional achievement, business need, and location. In addition to base salary, employees will participate in either an annual bonus plan based on company and individual performance, or a role-based, uncapped sales incentive plan.
