GENERAL SUMMARY:

The Assistant Practice Manager works as a valued team member and is responsible for all clinical scheduling including review of clinical schedules on a daily basis to ensure overall efficiency of scheduling operations. He/she will also ensure the availability of appointments for sick patients and new consults and will work to improve operational efficiency through strategic and QI initiatives. It is the responsibility of the Assistant Practice Manager to maintain a comprehensive, efficient workflow for the Administrative Staff.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

The Assistant Practice Manager will supervise administrative operations and staff including, medical assistant staff, scheduling staff and practice coordinators. He/she will be responsible for daily oversight of all administrative and medical assistant operations, including workload of staff and accurate and timely discharge of medical records according to established guidelines. The Assistant Practice Manager will support the Practice Manager to ensure the efficient and effective operation of the practice.

KEY RESPONSIBILITIES:

The Assistant Practice Manager will also have the opportunity to be involved in practice wide initiatives such as Meaningful Use and systems conversions.

The Assistant Practice Manager will support the following initiatives:

Billing and Payment errors and corrections

  • Coordination of special mailings
  • Supervising administrative and medical staff and monitoring of work volume
  • EMR records management
  • Coordinates with IT for system maintenance issues and reporting needs
  • Provides training and creates documentation for workflow policies
  • Workflow analysis and improvement project management for special projects

Ensures the effective and efficient daily management of the practice by working closely with the TMCCC Practice Manger, MAs, administrative staff and TMCCC Providers to ensure that the following tasks are carried out in an efficient and effective manner:

Establishing professional standards, protocols, policies and procedures for all staff members. Upholds and supports practice goals. Oversees the development and implementation of operational systems in conjunction with the Practice Manager.

Ensuring compliance with applicable local, state, national laws/organizations (HIPPA, OSHA etc.).

Evaluating patient satisfaction and ensuring responsiveness to patient concerns.

Maintaining quality services, increasing productivity and cost effectiveness.

Maintains collaborative team relationships with peers and colleagues in order to effectively contribute to the working group'sachievement of goals, and to help foster a positive work environment

Job Qualifications:

JOB REQUIREMENTS

JOB KNOWLEDGE AND SKILLS

  • Three or more years of health experience with the ability to plan, coordinate, direct, and evaluate a variety of activities and projects
  • Knowledge of and experience with physician/hospital coding and reimbursement systems
  • Experience with health care information systems and PC based office and spreadsheet applications required
  • Demonstrated leadership, communication, mentoring, customer service and excellent interpersonal skills required
  • Experience working with primary care providers helpful but not required.
  • Proficient in Microsoft Office.

EDUCATION AND EXPERIENCE:

  • Bachelor'sDegree required. Master's degree in Healthcare Administration or Business Management preferred.
  • Three or more years of health experience with the ability to plan, coordinate, direct, and evaluate a variety of activities and projects

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Work is in a fast paced office-based setting.
  • Work often includes meetings with physicians before or after normal business hours.
  • Reliable transportation is necessary.
