Job Summary
Responsible for reception area and acts as receptionist for visitors. Assist site leadership in the facility and administrative management of the Leuven, Belgium site.
Job responsibilities
Maintain office services by organizing office operations and procedures. Place and manage supply requisitions. Coordinate orientation and training of employees.
Coordinate receipt and storage of laboratory materials. Maintain laboratory chemical inventory. Maintain documentation per GMP requirements.
Responsible for reception area and acts as receptionist for visitors. Informs employees of deliveries, welcome visitors by greeting them, in person or on the telephone. Answer or refer inquiries. Issue visitor badges.
Help with the maintenance of company documentation, adhering to standard operating procedures and cGMP guidelines.
Perform additional duties as required and in accordance with established safety and GMP guidelines.
Minimum requirements
Bachelor's degree with 5+ years, or equivalent job experience in an administrative role / receptionist and/or office manager roles
Written and spoken English, Dutch and French, with good interpersonal communication skills
Ability to read and comprehend instructions, correspondence, and memos.
Ability to write routine correspondence.
Ability to respond to common inquiries or complaints from employees and/or clients.
Ability to respond effectively to the most sensitive inquiries or complaints
Ability to offer solutions and proactively propose improvement initiatives.
Ability to work independently and under minimal or remote supervision, yet communicate effectively upwards on a timely basis when required
Proficiency with Microsoft Office suite of tools (Word, Excel, Powerpoint, Outlook, etc.)
