Position Description

Must possess management skills to handle multiple locations and be able to multitask in high-pressure situations.  Strong leadership skills along with communicating effectively with many different types of people. 

 

Facilities Services Summary

Responsible for planning, directing, and overseeing building operations and services.  Allocates office space to departments, purchases equipment/supplies, and maintains appearance of building.

 

Primary Responsibilities

  • Manage employees and visitors IDs and visitor badges.
  • Inspect structure of building and determine if repairs are needed.
  • Oversee printing and reproduction services.
  • Management telecommunications, including installation of telecommunications systems.
  • Allocate office space.
  • Oversee internal moves and desk set ups.
  • Supervise renovations and additions.
  • Transport, dispose of, or relocate office equipment and furniture.
  • Evaluate and adjust energy expenditures.
  • Organize meeting and lounge spaces.
  • Maintain vendor relationships.
  • Implement programs and provide leadership.

 Office Services Summary 

Manage day to day operations of the Office Services Department. The Office

Services team is responsible for providing general office services to associates in multiple locations.

Primary Responsibilities

  • Secure long term client relationships by maintaining effective client relations.
  • Review and analyze performance and suggest improvement plans to Senior Management.
  • Develop team including goal setting, touch bases, performance reviews and hiring.
  • Ensure office services and reception requests are being handled according to expectations and with necessary urgency.
  • Supervise staff ensuring optimization of resources, vendors, and budgets in relation to grouping work, proposals and invoices within staff's approval limits.
  • Oversee conference room bookings, catering, meeting room set up and events.
  • Ensure supply ordering is being handled according to expectations.
  • Prepare and track Office Services metrics including budget tracking, Reception workload, Office Services Coordinator workload, and project tracking oversite.
  • Ensure staff is meeting quality and productivity standards
  • Ensure proper maintenance and usage of all equipment and supplies
  • Ensure production targets onsite are met daily, weekly, and monthly
  • Interface with the client, operations team, and corporate departments as necessary
  • Initiate communication and problem solving with regard to customer concerns.
  • Recommends Service Enhancements & Value add to clients
  • Manage budget and control expenses effectively

 

Records Management Summary


Responsibilities include management of the mail room operations and file operations, file and database maintenance, fulfilling client record requests and special projects as needed. Responsible for setting strategic direction of records management policies and practice which includes both electronic and paper records.

Job Requirements:

  • Oversee workflow, productivity and employees performance.
  • Manage personnel to maintain operational flexibility to perform and fulfill the tasks requirements in the mail room operations and file room operations at all times.
  • Monitor file/document requests to stay in compliance.
  • Act as the primary records contact which includes providing supervision and direction to personnel.
  • Ensures adherence to all regulatory and contractual requirements.
  • Development of procedures to ensure the highest level of service and accountability.
  • Maintenance of all hard copy files and documents, including permanent, work paper, audit, confirmation, correspondence, and research files.
  • Prepare status reports from the records database for internal customers
  • Ensure quality assurance initiatives are being observed at all times.
  • Maintain positive customer relations. Respond to and resolve difficulty records management issues. Provide technical advice and assistance to personnel on matters related to sensitive and confidential records.

MINIMUM QUALIFICATIONS:

  • 3 to 5 years progressively responsible work experience managing multiple service/operation units.
  • Excellent computer skills; spreadsheets applications
  • Advanced customer service skills, professional attitude & appearance
  • Create a customer-focused environment
  • Strong organizational, administrative, record keeping & time management skills.
  • Successful track record in motivating and managing a staff
  • This Manager must have excellent verbal and written communications skills.
  • The candidate selected must be dependable, reliable, detail oriented with good organizational skills as well as have self-initiative
