Overview

Job Summary

The coordinator is responsible for serving as the administrative coordinator for externally funded, non-research grants and contracts. The coordinator is responsible for administratively supporting non-research external funding grants and contracts including application development, budget development and maintenance, management and communication of contractual obligations and reporting timelines across internal/external partners and working collaboratively across Operational Teams to problem-solve administrative roadblocks and ensure fulfillment of contractual requirements in support of an assigned project portfolio(s). Works in collaboration with Enterprise pre/post award administration resources, Foundations, Finance, and project/program operational teams to ensure efficiency, communication, and optimization of administrative functions which requires critical thinking, project management, reporting, grant writing and budget experience.

Job Functions



  • Responsible for coordination across all stages of non-research grants and contracts administration including developing and maintaining shared filing and tracking systems, administrative checklists, and standard operating procedures.

  • Maintains all appropriate documentation and recordkeeping, including shared filing and tracking systems and oversees ongoing internal and external communications related to assigned project portfolio(s).

  • Manages adherence to contractual requirements, internal/external compliance requirements, and maintains regular communication with Operational Leaders and teammates.

  • Develops and maintains strong relationships with project/program operational teams and leadership aligned with assigned project portfolio(s), serving as a liaison, advocate, and collaborator to troubleshoot administrative roadblocks for grants administration and empower operational teams.

  • Works collaboratively with partner enterprise teams including Enterprise pre/post award administration resources, Foundations, Finance, and project/program operational teams to ensure efficiency, communication, and optimization of shared/aligned functions.

  • Works collaboratively to ensure a best practice approach to support for assigned project portfolio(s).

  • Responsible for administrative support, completeness, and adherence to all deadlines, requirements, and best practices for external funding proposals, contractually required reports, and other ongoing system communications including progress reports and presentations.

  • Works collaboratively to develop narrative content and numerical reporting for external funding proposals, contractually required reports, and other ongoing system communications.

  • Works in collaboration to support grant and private donor strategy aligned with assigned project portfolio(s) including regional and national funding opportunities.

  • Supports the dissemination of evidence through academic and non-academic channels including academic journals and presenting papers at scientific meetings and forums.

  • Supports professional development across grants and contracts administration functions, including serving as reviewer and mentor for partner teammates and leaders participating in external funding applications.

Education and Experience


Bachelor's degree in business, public health, health services research, health care administration, public administration or policy and/or government studies.


At least two (2) years of applicable experience. strong grant-writing, project management, and administration skills with diverse applied experiences across traditional and non-traditional sectors including healthcare, industry, commercial, and/or non-profit entities.
