Position Overview

Primary Purpose of Position
The primary purpose of the Administrative Support Associate is to provide overall administrative support in the Office of Alumni Relations and the Associate Vice Chancellor for Alumni Relations.
Primary Function of Organizational Unit
The Office of Alumni Relations provides strategic leadership for alumni programs, volunteers and committees which complement and support the mission of the university and the Division of University Advancement.
Work Hours 8 a.m. - 5 p.m.; Monday-Friday; some nights and weekends
Is this position eligible for a remote or hybrid work arrangement, consistent with university and state policies.
Key Responsibilities and Related Competencies

Required Competency Communication - Verbal/Written
Duties
Must demonstrate ability to understand and convey information and ideas to individuals or groups in a courteous, efficient and professional manner. Responds to inquiries that deviate from standard operating procedures by determining and consulting appropriate resources to provide quality customer service. Monitor and route departmental emails and voicemails appropriately. Schedules and coordinates appointments, meetings and events (internally and externally).
Required Competency Coordination - Operations
Duties
Ability to facilitate the flow of work, facilitate or direct the office support activities and coordinate work with staff; ability to maintain internal and external contacts for work coordination.
This multi-task positions is responsible for general office support and clerical duties including ordering supplies, faxes, completing copies, making reservations, creating forms, memos and presentations, preparing purchase order and check requests, credit card payments, gifts and other duties. In addition, assisting with the development of office guidelines and procedures including creating forms, manuals and other supporting documents. Coordinating staff meetings by securing and distributing agenda and action items. Schedules and coordinates appointments, meetings and events (internally and externally).
Required Competency Knowledge - Program and Organization
Duties
Ability to demonstrate an understanding and awareness of alumni relations operations, purpose, policies, and procedures; ability to demonstrate and apply this knowledge in performance of office support tasks; ability to explain and interpret program information to internal and external constituents. Understands the roles within the division in order to route information to the appropriate individual. Serves as a liaison with other units, department and colleges at NC A&T and the UNC System.
Required Competency Office Technology
Duties
Ability to utilize office equipment and other relevant technology (software and systems, such as Microsoft Office, Aggie Mart, Banner, Chrome River and Office Depot Online ordering) to meet work needs.
Required Competency Budgeting
Duties
Manage the unit's operations and event budget, maintaining accurate balances and advise the department head on fiscal matters related to funding availability for office operations event planning.
