Job Description

As the North American Operations Resource Planning and Management Lead in the Product Safety group, you will be responsible for implementing and managing the team who requests creation and maintenance of vendor master data, requests purchase orders, approves invoice payments and tracks resources for outsourced research work. In this crucial role, you will work closely with task contacts and the work placement manager to ensure compliance with all business aspects of work placement as well as track the planned, committed, and actual external spend for Product Safety outsourced tasks.

Duties:

  • Lead the team who handles the business side of outsourcing Product Safety work with Contract Research Organizations (CRO) including gathering and reviewing supporting documents for contracts, ensuring appropriate contract and invoice approvals, generating purchase orders (POs) and recording POs and invoice payments in our global tracking system.
  • Work closely with the regional Resource Planning and Management Leads, P2P Service Delivery analyst, Finance Business partners, Procurement, and Compliance Lead on procedures and issues concerning purchase orders, invoice management, and contractual agreements with 3rd party vendors. Ensure internal financial recordkeeping procedures are consistent with best practices.
  • Serve Product Safety technical staff as an in-house reference source for CRO contracting procedures and processes, invoice management system and troubleshooting and provide guidance and troubleshooting to contract research organization staff on generation and tracking of Product Safety contractual documents, purchase orders, invoices, and payments.
  • Manage end of month and end of year reporting processes working alongside our finance business partners.
  • Onboarding and training of new hires.
  • Active participation and input into Global Operations initiatives to drive efficiency gains.

Qualifications

Required:

  • Bachelor's Degree in a Finance or Business - related field with a minimum of 10 years work experience
  • Proficient in Microsoft office skills including Outlook, Word, Excel and PowerPoint
  • Experience with enterprise software systems: SAP, Ariba, SmartChoice, PRISM
  • Must be able to handle simultaneous assignments with success and accuracy and manage sensitive and proprietary information with discretion and confidentiality
  • People and project leadership experience

  • Ability to build good relationships and work cross-functionally.
  • Ability to work independently as well as within a team setting.
  • The ability to work effectively with a very diverse group of staff who have a wide variety of educational backgrounds and competencies, to understand the underlying issues and provide guidance in a supportive, individualized manner.
