Client Service Specialist
Financial Planning Industry | Bachelors Degree Required | Series 7 & Series 66 License Preferred | Onsite - Raleigh, NC

We are engaged by a local Financial Planning firm who is looking for an Client Service Specialist to join their team! This individual will wear many hats and will be responsible to support advisors and clients in the delivery of financial planning, wealth management, and advisory services. The ideal candidate is someone who is organized, detail-oriented, personable, and has strong communication skills and the ability to manage multiple projects.

Responsibilities:
  • Manage incoming client phone calls, greet clients for in-office visits.
  • Proactively communicate with clients on a regular basis through a range of communications vehicles, process client requests and answer basic client inquiries in a timely manner.
  • Coordinate the preparation of financial plans, annual or quarterly reviews and other ad-hoc client meetings materials by preparing balance sheets, investment allocation summaries, meeting agendas, charts, graphs and added services.
  • Attend individual client meetings and record minutes and follow up items.Discuss and organize follow-up steps with the advisors after client meetings.
  • Coordinate account transfers and obtain cost basis information for incoming assets.
  • Verify cash balances for systematic withdrawal programs and generate and review monthly available cash report.
  • Ensure timely preparation of signature-ready paperwork for client meetings and timely processing of all money movement requests.
  • Process all deposits of checks into client accounts and for Financial Plans.
  • Serve as office expert, manager, and coordinator of account paperwork and other administrative records with Cetera.
  • Manage all details of clients, prospects and vendors in CRM and populate and maintain accurate client data in CRM database, employer retirement plan and Financial Plan fee billing and reporting systems.
  • Create and maintain a client and prospect communication platform using CRM, (RedTail) and Advice Works, and Marketing Central.
  • Assist in managing advisors' social media accounts.
Qualifications:
  • Bachelor's degree is required.
  • Industry licenses: Already have or be able to study for and pass exams for federal and state licenses and registrations for securities, including Series 7, Series 66, and state life, accident, and health insurance licenses (preferred). Notary Public Commission (preferred)
  • Three or more years of relevant experience.
  • Work experience in a team environment.
  • Exceptional oral and written communication skills.
  • Proficient in Microsoft Office applications and familiarity with eMoney,FMG, Redtail CRM, Morningstar and DocuSign a plus.Adept at learning new systems.
  • Excellent follow-up and follow-through capabilities.
  • Personable, approachable with a positive attitude.
  • Organized, meticulous, detail-oriented and able to multitask, self- starter.
  • Able to interact well with sophisticated, high net worth clients and all employees.
  • Professional attitude, demeanor, and appearance.
  • Able to work independently with good problem solving, mathematical and time management skills.
  • Prior experience in financial services, accounting or law considered a plus.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
