Job Description Summary

This employee will perform a variety of duties including overseeing day-to-day activities in the office of the Department of Education and assisting the Chair in carrying out their duties and responsibilities.

Job Description

Essential Functions:

  • Works closely with the department chair, making decisions regarding the day-to-day operations of the department.
  • Assists chair and department faculty in budgetary matters. Reconciles budgets for department operating expenses, activities, funds, and grants using Workday.
  • Assists chair in coordinating class schedules and enters scheduling information in Workday. Assists in the registration process for department majors and minors and with applications and interviews for graduate students.
  • Coordinates the department's programming, events, including managing event details, accommodations, and schedules.
  • Assists chair in all purchasing needs. Assesses purchasing needs and recommends purchasing for department materials. Researches and makes recommendations regarding financing special events and capital requests. Maintains office supplies.
  • Processes financial transactions, p-card transactions, and department invoices using Workday. Reviews financial reports for accuracy.
  • Assists with maintaining and fostering networks and connections with university partners.
  • Works with other university offices in coordinating activities and providing information to various offices including to the Dean, Registrar, Graduate School, Financial Services, and Physical Facilities.
  • Supports the work of faculty committees in the department as assigned.
  • Collects/compiles/prepares information, such as annual reports, newsletters, bulletin boards, faculty/staff development forms, payroll forms, and additional memos, letters, reports, etc.
  • Assists with updates and maintenance of the department's website, social media, and other digital platforms.
  • Oversees student assistants.
  • Assists with all processes related to faculty and staff (e.g., recruitment/onboarding, leaves, travel, course buy-outs, exits).
  • Responds to additional administrative needs of faculty and staff under the direction of the chair.
  • Responds to inquiries in person or via email/telephone, and provides information requested as appropriate.
  • Manages department classrooms spaces. Responds to space reservation requests using EMS.

Required Education, Knowledge, Skills, Abilities:

  • High school diploma plus one to three years related experience, or an equivalent combination of education and experience.
  • Ability to and willingness to oversee the day-to-day operations of a department.
  • Ability to problem solve and fix issues as they arise.
  • Willingness and ability to take initiative and to make decisions in keeping with the department's values.
  • General knowledge of office management procedures and techniques.
  • Excellent communication skills, both verbal and in writing.
  • Willingness to listen and to work as part of a team.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, and similar Google tools.
  • Ability to organize office workflow and prioritize work assignments.
  • Accuracy and attention to detail.
  • Ability to interact with faculty, staff, and administrators with diverse backgrounds.
  • Willingness to help faculty as needed.
  • Ability to work occasional evenings and weekends as required.
  • Ability to update skills on a continual basis.

Preferred Education, Knowledge, Skills, Abilities:

  • Bachelor's degree plus one to three years related experience or an equivalent combination of education and experience.
  • General knowledge of WFU budget system and financial and accounting procedures.

Accountabilities:

  • Works under limited supervision.
  • Reports directly to the department chair.
  • Manages staff/student workers.
  • Budgetary responsibilities.
  • Proactive in seeking out tasks and assignments.
  • Commitment to position and the mission of the Department and the University.

Physical Requirements:

Sedentary work primarily involving sitting/standing; communicating with others to exchange information; repeating motions that may include the wrists, hands, and/or fingers; and assessing the accuracy, neatness, and thoroughness of the work assigned.

Environmental Conditions:

Indoor office environment.
