Primary Purpose of Organizational Unit
The Department of Romance Studies is a diverse and plurilingual academic unit that engages in research and instruction in French, Italian, Portuguese and Spanish, and in the historical minority languages of Europe and the Americas. The Department of Romance Studies has five primary purposes: 1) Provide undergraduate instruction to an average of 5000 students each semester, including 800 majors and minors, by engaging the languages, literatures and cultures within the transnational and regional contexts in which they have developed. 2) Provide graduate instruction to approximately 100 MA and PhD students in advanced course-work in French, Italian, and Spanish literature, linguistics, and culture. Academic instruction is combined with carefully supervised pre-professional training that includes classroom teaching and study/travel abroad, to prepare the next generation of researchers and teachers. 3) Provide academic technology support to foreign language instructors, and learning resources to students enrolled in foreign language courses through staff and facilities operating as the Foreign Language Resource Center. 4) Publish three internationally recognized scholarly publications: the journals Hispan fila and Romance Notes, and a book-length monograph series, North Carolina Series in Romance Studies. Each year 6 journals and several monographs are published. Our Publications office manages subscriptions, domestic and international, and all associated receipts and expenses. 5) Provide administrative and clerical support to faculty and graduate students to further their instructional mission as well as their scholarly research and publication goals.
Position Summary
This position will perform the major portion of all accounting duties for the Department of Romance Studies within the College of Arts & Sciences. These duties include: preparation, submission, and tracking of reimbursements and invoice payments; managing receivables; reconciling expense and revenue ledgers; reconciliation of PCard and Campus Billing charges; preparing financial reports as needed for review by the Business Officer and Department Chair; managing all honoraria/contractor actions; creating and maintaining spreadsheets on budget and expenditures on all endowment income accounts, retention and start-up funds, trust and auxiliary accounts and F&A accounts.

This position will also serve a variety of administrative roles within the department, such as being the first point of contact in the main office, directing visitors and questions as appropriate, maintaining website content/updates and maintaining departmental listservs. This person will also be in charge of special projects that include: scheduling appointments and committee meetings; collecting various data for the chair to prepare reports and reviews; and organizing conferences and lectures as needed.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.
Required Qualifications, Competencies, and Experience
This position requires attention to detail and excellent organizational skills. The selected candidate must possess the ability to multi-task, prioritize effectively and remain calm under pressure. Demonstrated experience in office operations and use of office technology is essential. This person must be thoroughly computer literate and experienced with email, calendaring systems, and Microsoft Office applications.
Preferred Qualifications, Competencies, and Experience
Previous experience in a higher education setting and working knowledge of university systems such as Connect Carolina, Infoporte, and Concur is highly preferred. Also highly preferred is demonstrated initiative of working in a collaborative manner with administrators, staff, and students. Working knowledge of pivot tables and Excel graphing skills a plus
